Certified Kahua Implementation PartnerThe technical layer your Kahua deployment actually needs.
APSI brings 36 years of owner side program management together with a technical team that configures, integrates, and reports on Kahua at the level your board expects. No generic playbooks. No guesswork.
Technical implementation from start to production.
We handle every layer of the Kahua technical stack so your program team can stay focused on delivery. From initial configuration to live ERP integration, APSI owns the build.
Core Platform Configuration
Full Kahua setup from scratch. We configure your company structure, user roles, permission matrices, project templates, and approval authority logic so the system fits how your team actually works.
- Role and permission design
- Workflow routing and SLA configuration
- Project template library by delivery method
- Document numbering and naming conventions
- DBB, CMAR, Design-Build, and JOC support
Cost and Financial Modules
Cost Management, Sources of Funds, Capital Planning, and Cashflow Forecasting either justify the Kahua investment or expose its gaps. We get these right before anything else goes live.
- WBS and cost code structure setup
- Budget, commitment, and change order configuration
- Bond fund structure and drawdown logic
- Pay application workflow and retainage rules
- Multi-year capital planning pipeline
kConnect Integrations
We build and maintain bidirectional connections between Kahua and the systems your agency already runs. This is where most implementations stall. We have done the field mapping, the error handling, and the reconciliation work before.
- ERP integration with Banner, Oracle, SAP, and Lawson
- PlanetBids award to contract automation
- Primavera P6 and MS Project milestone sync
- DocuSign and e-signature workflow connection
- Custom REST API connectors via kConnect
Power BI and Kahua Analytics
Board level dashboards, bond fund utilization reports, PM scorecards, and compliance tracking. We design the data model, build the pipeline from Kahua, and deliver dashboards that hold up in a board meeting.
- Star schema data model design
- Kahua to Power BI nightly pipeline
- Role based security configuration
- Bond program and fund tracking dashboards
- Export ready board reporting packages
kBuilder Custom Applications
When standard Kahua modules do not cover a specific workflow, kBuilder fills the gap. We design and build custom low code applications that sit natively inside the Kahua platform.
- MBE, WBE, and DBE tracking applications
- Custom inspection and field report forms
- Program specific compliance workflows
- Bid management supplements
- Owner dashboard portals
Data Migration and Go Live
Moving active projects from spreadsheets, SharePoint, or a legacy PMIS into Kahua requires judgment about what to migrate and what to archive. We have done both on live capital programs.
- Source system assessment and extraction
- Data cleaning and transformation
- Kahua format load and validation
- Parallel run and cutover planning
- 90 day hypercare after go live
A process built for construction programs.
APSI runs the implementation the way we run a capital program: documented scope, staged milestones, tested before it goes live, and a clean handoff at the end.
- 01Phase
Technical Discovery and System Design
We run dedicated technical discovery sessions alongside stakeholder interviews. The focus is the ERP environment, fund structure, integration landscape, reporting requirements, and workflow logic. Everything we learn becomes a configuration specification before a single setting gets touched.
Deliverable: Signed configuration specification document
- 02Phase
Core Platform Build
Company setup, SSO, roles, workflows, cost structure, Sources of Funds, Capital Planning, and document management configured against the specification. Every workflow is tested in a sandbox before it touches production data, with sign off at each module milestone.
Deliverable: Core system ready for user acceptance testing
- 03Phase
Integrations and Analytics Build
kConnect connectors built, tested, and reconciled against real system data. Power BI data model designed and dashboards built against approved mockups. We do not start dashboard builds until the cost data model is stable, and we do not go live with integrations until reconciliation tests pass clean.
Deliverable: All integrations live in sandbox, dashboards approved
- 04Phase
UAT Support and Go Live
We build the test scripts, facilitate user acceptance testing, fix defects on a tracked timeline, and run a formal go or no go review before anything moves to production. The go live decision is a documented sign off, not a calendar date.
Deliverable: Production system live, all users onboarded
- 05Phase
Hypercare and Steady State
Ninety days of high touch support after go live. Issues surface once real users hit the system with real data. After hypercare we transition the program to steady state operations with full documentation and a trained system admin team in place.
Deliverable: Full documentation, trained admins, support handoff
Every licensed module. Configured completely.
We work across the full Kahua module suite and own the hard parts in house rather than handing them to a third party.
What separates a configured system from one that works.
Most Kahua implementations get the basics right. The ones that fail do so quietly, six months after go live, when workarounds start piling up. We have seen the failure modes and we build against them.
We design before we configure
Every workflow, role, and approval chain is documented in a signed specification before we touch the system. The most expensive Kahua problems happen when implementation starts before requirements are clear. We take the time upfront so we do not rebuild three months in.
AEC domain knowledge on the technical team
Our team understands what a schedule of values is, how retainage release works, and what a CM at Risk approval chain looks like. You do not spend meetings translating construction concepts into technology language. We already speak both.
Integrations are scoped honestly
ERP integrations are hard. The field mapping is complex, reconciliation testing takes time, and the API does not always behave the way the documentation suggests. We give you honest estimates and honest timelines.
We own the entire technical scope
Configuration, kBuilder, kConnect, Power BI, data migration, UAT support, go live. One team. When something is unclear or delayed, you have one point of contact with visibility into all of it.
Sources of Funds gets the attention it deserves
For bond funded programs, public universities, and state agencies, Sources of Funds is the most scrutinized module in the system. We treat it as a first class configuration item, not an afterthought. The fund structure is locked before cost management configuration begins.
The system stays configured after go live
Kahua installations drift. Approval chains get bypassed. Fields go unused. Workarounds accumulate. Our hypercare period and documentation handoff are designed to prevent the slow erosion that turns a good implementation into an expensive spreadsheet.
Built for owners and program teams who need a technical partner.
APSI implements Kahua for the owners we serve and as the technical partner to program teams that hold the client relationship.
Public Agency Capital Programs
Community college districts, state DOTs, transit authorities, school districts, and public universities running bond funded capital programs where audit trail, fund tracking, and board reporting are not optional. We have configured Kahua for the public sector reporting environment.
Higher Education
Universities and community college systems managing multi-year bond programs with complex fund structures, board level reporting requirements, and occupied campus projects that demand careful phasing. We understand the academic calendar and what a Measure style bond deployment requires.
Healthcare and Institutional Owners
Health systems and institutional owners running multi-project capital programs who need a PMIS that integrates with existing ERP systems and produces reliable financial reporting for internal governance. We configure Kahua to fit enterprise environments, not the other way around.
Construction Management and Owner's Rep Teams
You have been hired to manage a capital program and the client wants Kahua. You need a technical partner who can configure the system, build the integrations, and stay out of your client relationships. That is the engagement model we work in.
Your program bought Kahua. Let us make it work.
